These terms apply to all accommodation providers listing properties on the Pilgrim Stays UK platform. By creating a host account or listing a property, you agree to be bound by these Host Terms & Conditions. Please read them carefully.

1. About This Agreement

These Host Terms & Conditions ("Host Terms") form a legal agreement between Twelve Pilgrims Travel Ltd ("we", "us", "our"), operating the Pilgrim Stays UK platform, and you, the accommodation provider ("you", "the host").

By creating a host account, listing a property, or accepting a booking through Pilgrim Stays UK, you confirm that you have read, understood, and agree to be bound by these Host Terms.

Pilgrim Stays UK is an online marketplace connecting Christian travellers and pilgrims with faith-friendly accommodation providers. We provide the platform for listing, searching, booking, and payment processing. We act as your agent, not as a principal — we do not buy or resell your accommodation, and we do not add a markup to your prices. We are not a party to the booking contract between you and the guest.

2. Listing Your Property

You must provide accurate, truthful, and up-to-date information about your property, including but not limited to: location, accommodation types, capacity, pricing, amenities, and photographs.

Photographs must accurately represent the property and rooms listed. You must not use stock images or images that misrepresent the property.

You are responsible for ensuring that you have the legal right to list the property and that doing so complies with all local laws, planning permissions, licensing requirements, and any mortgage, lease, or homeowners' association restrictions.

You must hold appropriate public liability insurance covering your property and guests, and maintain it for the duration of your listing on the platform.

All listings are subject to review and approval by Pilgrim Stays UK before going live. We reserve the right to decline, suspend, or remove any listing at our discretion.

3. Pricing, Commission & Payments

You set the prices for your rooms and property. The price you set is the accommodation price the guest pays — we do not add any markup to your prices. A 3% booking fee is charged to the guest on top of your price. Prices should be inclusive of all applicable taxes (including VAT if you are VAT-registered).

We earn revenue from two sources: a 3% booking fee charged to the guest on top of your accommodation price, and a 10% commission deducted from the guest's payment before your payout is calculated. Your payout is 90% of your accommodation price (the room subtotal, excluding the booking fee).

VAT and Tax: Because we act as your agent and not as a principal, the accommodation supply remains your supply. You are responsible for accounting for any VAT due on the accommodation to HMRC. Pilgrim Stays UK accounts for VAT only on the 10% commission it earns from you, not on the full booking amount. If you are VAT-registered, you should ensure your listed prices reflect your VAT obligations.

All payments are processed through Stripe. Guests pay securely via the platform, and you receive your payout (total minus the 10% commission) after the guest's stay is completed.

Payouts are made either via Stripe Connect (automatic transfer to your bank account) or by manual bank transfer, depending on your chosen payout method. You are responsible for providing accurate bank details and for any tax liabilities arising from your earnings.

4. Booking Management

When a guest submits a booking request, you will be notified by email and through your host dashboard. You must review and either accept or decline requests in a timely manner, ideally within 24 hours.

Before accepting a booking, you must ensure that the requested rooms are available for the requested dates. Accepting a booking that conflicts with existing bookings is a breach of these Host Terms.

Once you accept a booking request, a payment link is sent to the guest. The booking is only confirmed once the guest has paid.

You are responsible for managing your availability calendar and keeping it up to date to prevent double-bookings.

If you need to cancel a confirmed booking, you must do so through the platform. Cancellations by hosts result in a full refund to the guest. Repeated cancellations may result in suspension of your account.

5. Host Responsibilities

You are responsible for providing the accommodation as described in your listing, in a clean, safe, and habitable condition.

You must respect the faith-based nature of the platform. Guests using Pilgrim Stays UK are Christian travellers and pilgrims. You must not discriminate against guests on the basis of denomination, race, gender, disability, age, or any other protected characteristic under the Equality Act 2010.

You must provide reasonable check-in and check-out arrangements and communicate clearly with guests about arrival times, access instructions, and any house rules.

You are responsible for complying with all UK laws relating to your accommodation, including health and safety regulations, fire safety, food hygiene (if applicable), and data protection.

You must not request or accept payment outside of the Pilgrim Stays UK platform. All payments must be processed through the platform to ensure guest protection and proper commission accounting.

6. Payouts & Financial Obligations

Your payout for each booking is calculated as: Accommodation price (room subtotal) minus 10% commission = Host payout amount. The 3% booking fee is paid by the guest and does not affect your payout.

If you have chosen Stripe Connect as your payout method, payouts are processed automatically to your linked bank account after the guest's stay is completed.

If you have chosen manual bank transfer, payouts are processed by our admin team. You must provide accurate bank account details (account name, sort code, and account number) and notify us of any changes.

You are responsible for declaring all earnings from Pilgrim Stays UK to HMRC and for paying any applicable taxes. We are not responsible for your tax obligations.

In the event of a guest dispute or chargeback, we reserve the right to withhold payout until the matter is resolved.

7. Cancellations & Refunds

You set the cancellation policy for your property. It must be clearly displayed on your listing.

If you cancel a confirmed booking, the guest receives a full refund. We may also charge a cancellation fee or suspend your listing if cancellations become frequent.

If a guest cancels, the refund amount depends on your stated cancellation policy and the timing of the cancellation. Refunds are processed through the platform.

In cases of force majeure (e.g. natural disasters, government restrictions), we may override standard cancellation policies to ensure fair treatment of both guests and hosts.

8. Content & Intellectual Property

By listing your property on Pilgrim Stays UK, you grant us a non-exclusive, royalty-free licence to display your listing content (including photographs, descriptions, and other materials) on the platform for the purpose of marketing your property.

You confirm that you own or have the right to use all content submitted, including photographs, and that it does not infringe any third-party intellectual property rights.

We may use your listing content in promotional materials, social media, and marketing campaigns to promote the Pilgrim Stays UK platform and your property.

You may request removal of your listing at any time, subject to honouring any confirmed bookings.

9. Limitation of Liability

Pilgrim Stays UK provides a platform to facilitate bookings. We are not responsible for the actions, conduct, or omissions of guests, including non-payment, damage to property, or breach of house rules.

To the maximum extent permitted by law, our liability to you is limited to the platform fees earned from your listings in the preceding 12 months. We are not liable for any indirect, consequential, or incidental damages.

You are responsible for your own insurance coverage, including public liability, property damage, and contents insurance. We strongly recommend obtaining appropriate short-term let insurance.

We do not warrant that the platform will be uninterrupted, error-free, or completely secure. We are not liable for technical issues, data loss, or communication failures beyond our control.

10. Account Suspension & Termination

We reserve the right to suspend or terminate your host account and remove your listings if:

• You breach these Host Terms or any applicable law.

• You receive repeated complaints from guests about the quality or accuracy of your listing.

• You attempt to take payments outside of the platform.

• You discriminate against guests or behave in a manner inconsistent with the Christian values of the platform.

• Your property is found to be unsafe or illegally operated.

You may close your account at any time by contacting us. You must honour all confirmed bookings made prior to closure.

11. Amendments to These Terms

We may update these Host Terms from time to time. You will be notified of any material changes by email. Continued use of the platform after changes take effect constitutes acceptance of the updated terms.

12. Dispute Resolution & Jurisdiction

If you have a dispute with a guest, we encourage you to resolve it directly. We may assist in facilitating communication but are not obligated to mediate.

These Host Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
